Fitness & Training Coordinator | Full-time

TheVivo for Healthier Generations Society operates a Research and Innovation Lab and Centre for Community Wellbeing, Recreation and Sport in the heart of north-central Calgary where we work with our community and partners to support them in living a healthier life 

Our roots began as a regional recreation center in North Central Calgary.   Over 16 years Vivo has grown into a well-utilized and beloved community hub with underpinnings in research and innovation to support individuals and whole communities to be more active and socially connected.  In 2023, we are launching 117,000 square feet of new and renovated spaces, which will include a signature indoor park, aquatics upgrade, expanded boutique-style fitness, vital community spaces and a social research and innovation lab.

As a registered charity, Vivo is responsible for generating annual revenues of $7 million+ and undertaking fundraising and sponsorships to cover operating budgets, transfers to reserves for capital maintenance and equipment. Investments in research and community development initiatives like the Vivo Play Project, and any other special projects that advance our charitable purposes, including the $60 million capital campaign for our upcoming expansion.


  • 40 hours a week (on-site)
  • Daytime, evenings and weekends will be required.
  • Flexibility to teach group fitness, personal train and support front line staff as needed.

Reports to: Programs & Services Manager


As the Fitness & Training Coordinator, you are responsible for the overall coordination of the day-to-day operations of the Fitness Center, Group Fitness and Personal Training teams at Vivo.  Responsibilities include staff mentoring, facility checks and inspections, equipment maintenance and repairs, instruction and administration of fitness programming and fitness center operations as well as providing resources and support to guests and staff. The Fitness & Training Coordinator ensures that staff and guests while displaying a high level of customer service are following appropriate safety policies and procedures.

You will connect and co-create with our customers, community and employees in ways that are impactful in driving and advancing Vivo’s cause.  With a passion for fitness, health and community, you will re-imagine, oversee and evolve all aspects of Vivo’s Fitness departments bringing the experiences to life.  You will lead with empathy, provide inspiration, and encourage innovation, foster accountability and the capacity in the team to deliver strong results and impact. 

This is a Full Time Permanent salaried position working 40 hours per week. Most hours will be administrative however, if required the Fitness & Training Coordinator will teach group fitness, personal train and step into front line roles when needed.  


Leadership Impact

  • Oversee, evolve and provide leadership and direction to the fitness department group fitness instructors, personal trainers, and fitness consultants in the form of talent acquisition, training, performance management, team in-services and training.  
  • Genuinely understand and reflect Vivo’s values and mission into each fitness experience.
  • Develop, monitor and evaluate work-plans and performance targets for the programs team. 
  • Empower and hold the program the fitness team accountable for achieving established work-plans and targets through the regular follow-up, feedback and coaching. 
  • Recruit, onboard, train, coach and performance manage the team utilizing Culture & People best practices to ensure a high-performing team.
  • Perform regular scheduling and payroll for the Fitness Team. 
  • Act as a role model of teamwork, demonstrating resilience and innovation within the Vivo Programs & services team.
  • Participate in re-imagining the fitness experience and development processes through a service design-thinking lens with the team, then implement, and build capacity in the fitness team to do the same. 
  • Perform monthly safety meetings and inspections for the fitness teams.
  • Ensure the safety of staff members and fitness users and evaluate systems and procedures on a regular basis.
  • Provide feedback to the Joint Health and Safety Committee and support the fitness employee who sits on the Joint Health and Safety Committee.

Business Management

  • Seek out and explore trends and practices, and the needs of Vivo’s community that are aligned with organization timelines and provide recommendations on the program offerings.  
  • Own the Fitness budget, understand, and monitor key components that influence targets and revenue generation. 
  • Assess, revise, and revamp operational policies, procedures and training manuals for all fitness departments.
  • Demonstrate in-depth knowledge and understanding of marketing timelines, pricing strategies, and Avocado software.
  • Support grant writing for areas within Fitness.
  • Track, monitor and report spontaneous usage and impact; weekly, monthly and annually.
  • Present ideas, research, and recommendations to leadership team through strong communication in the form of verbal presentations, business cases, and facilitation of meetings.    
  • Act as the main point of contact/liaison for all external maintenance contractors.
  • Acts as a resource for sport and fitness events and create age appropriate activities.
  • Stay abreast of new trends and innovations in the sport and fitness industry.

  • Track inventory and supplies.
  • Perform and develop maintenance schedules and service cycles as per equipment guidelines.
  • Provide regular reports on equipment maintenance.
  • Complete routine monitoring of all sport equipment and operations.
  • Work in conjunction with the programs & services team to coordinate programming to maximize the use of Vivo amenities.
  • Provide additional support to the Programs & Services Manager as required.


  • Post-Secondary Diploma and/or University degree in Kinesiology or another degree that is applicable.
  • Nationally recognized Personal Training Certification through (ACE, AFLCA, Canfit Pro, CSEP-CPT, NASM)
  • Speciality certification or group exercise certification from a recognized organization ( MOSSA, AFLCA, Canfit Pro, CSEP-CPT)
  • Demonstrated knowledge and experience in the fitness industry. 
  • Minimum 2 years working in a fitness environment.   
  • Minimum 2 years working as a group fitness instructor or personal trainer.
  • Minimum 2 years experience with development and implementation of budgeting for a fitness environment.  
  • Minimum 2 years of leadership and/or supervisory experience 
  • Understanding of the importance of physical literacy skills and growth mind set.  
  • Strong interpersonal and customer service skills.


  • A valid police information check for the Vulnerable Sector within the past 3 months
  • Current Standard First Aid and CPR-C/AED certifications
  • Ability to work flexible hours to support the fitness teams.
  • This position may be exposed to loud noises and will require an individual to be able to concentrate in a busy environment.
